Effective and accurate budget management is essential for the successful delivery of activities and financial reporting in grant-funded projects. To provide a better overview of your project budget, we have introduced a tree structure along with a Gantt chart preview. As you add budget items to the budget tree, they will automatically appear in the Gantt chart.
To add a budget to your project, follow these steps:
1. Go to the Budget menu in your project.
2. Click the + button.
3. A pop-up window will appear where you can enter the budget item name.
4. In the Unit field, select the type of unit (day, month, or other).
Note: If the budget item is a main category or subcategory with subitems, select “Budget Category with subitems”. You will notice that Unit amount, Quantity, and Total amount become inactive because the budget of the main category is a summary of the subitems’ budget.
5. In the Unit amount field, enter the amount for one unit.
6. In the Quantity field, specify the number of units.
7. You will notice that the Total amount is calculated automatically.
8. Select the Duration of the budget item.
Note: The budget item duration indicates when you plan to spend the budget item amount.
Selecting a duration can help your planning and provide a clearer preview of spending. This is also necessary if you’ve selected to include instalments management for your project.
9. Click Save, and the budget item will be displayed in the budget tree and the Gantt chart.
If you want to add a budget item within a main category or subcategory, click on the + icon next to the category name. Follow the steps from above.
Note: To edit or delete a budget item, click on the relevant icon next to the budget item title. To delete a main budget category or subcategory, you must first remove all associated budget items.
